QuickBooks Online Integration
Privacy Policy

Last updated: October 1, 2026

1. About this policy

This policy explains what information People Perfect LLC ("we", "us") accesses, sends, stores and shares when an organization ("you") connects its QuickBooks Online company to People Perfect through our QuickBooks Online integration (the "Integration"). It supplements our general Privacy Policy, which covers the rest of People Perfect. The terms of use for the Integration are in the QuickBooks Online Integration End-User License Agreement.

2. Connecting your QuickBooks company

An administrator of your People Perfect account connects the Integration by signing in to Intuit and choosing a QuickBooks company. We never see or store your Intuit password. Intuit gives us access credentials (tokens) limited to the accounting data of the company you chose, along with that company's ID. Your sign-in passes briefly through people-perfect.com on its way back to your own People Perfect address; that step only checks the request is genuine and forwards it, and it does not receive or store your tokens or your accounting data.

3. Information we read from QuickBooks

  • Your company's name, to show which company is connected.
  • Your lists of products and services, accounts and payment methods, so your administrator can choose how payments are recorded.
  • Customer names, when your administrator searches for an existing customer to match a guest to, and to check whether a customer name is already in use before creating one.

We do not read your other transactions, reports, bank feeds, payroll or employee information.

4. Information we send to QuickBooks

  • Customers: for each guest who pays fees, their first, middle and last name and, if one is recorded, their billing email address.
  • Sales receipts: for each payment, the date, amount, the item and period it paid for, the payment method, a check or money order number or the last four digits of the card, and references to the payment in People Perfect and Stripe.
  • Stripe fees, if your administrator turns this on: the processing fee Stripe kept on each card payment.
  • Setup records: payment methods (such as "Cash") and a "Stripe Processing Fees" service, when your company needs them.

We never send full card numbers, Social Security numbers, dates of birth, health information, case notes or any other information from a guest's record to QuickBooks. Card details are held by Stripe and never pass through People Perfect.

5. Information we store

  • The access credentials Intuit issued, encrypted, for as long as you stay connected.
  • Your QuickBooks company's ID and name, the settings your administrator chose, and which QuickBooks customer and product/service each guest and billing item is matched to.
  • For each payment sent, the ID of the sales receipt it became and, for card payments with fees recorded, the Stripe fee.
  • An error log of calls QuickBooks or Intuit refused: when, which operation, the HTTP status, Intuit's error code and message, and Intuit's transaction reference (intuit_tid). It never contains access credentials. Entries are deleted after 180 days. Your administrators can view and export it to share with us or Intuit when troubleshooting.

Each People Perfect customer runs on its own server with its own database, so this information is stored with the rest of your People Perfect data and is not shared with other customers.

6. How we use it

We use this information only to provide the Integration to you: to record your payments in your QuickBooks company and to show you what has been sent. We do not sell it, use it for advertising or marketing, combine it with other organizations' data, or use it to train artificial intelligence models.

7. Sharing

We share this information only:

  • with Intuit, by sending it to the QuickBooks company you connected - which is the purpose of the Integration;
  • with Stripe, only to look up the processing fee on a card payment you took through Stripe;
  • with the hosting providers who run our servers, under confidentiality obligations; and
  • when required by law, as described in our general Privacy Policy.

Once information is in your QuickBooks company, Intuit's privacy policy and your agreement with Intuit govern it.

8. Who can see it in People Perfect

Only administrators of your People Perfect account can connect or disconnect QuickBooks, change its settings, or see the QuickBooks page. Connecting, disconnecting and changing settings are recorded in your account's activity log.

9. Security

Information is sent to and from Intuit and Stripe only over encrypted (HTTPS) connections. Access credentials are encrypted before they are stored. Our general security practices are described in our Privacy Policy.

10. Disconnecting and retention

You can disconnect at any time from Administration > Maintenance > QuickBooks Online in People Perfect, or from within QuickBooks Online. When you disconnect, we ask Intuit to revoke our access and erase the access credentials we held. Your settings and matches are kept so that reconnecting the same company picks up where you left off; they are deleted with the rest of your data when your People Perfect account closes, as described in our general Privacy Policy. Records already sent stay in your QuickBooks company, where you control them.

11. Information about guests

The guests whose names and payments the Integration sends are people your organization serves. Your organization decides to send that information to its accounting system and is responsible for doing so appropriately; we process it on your behalf. Guests with questions about their information should contact the organization that serves them.

12. Changes

We may update this policy; the date above shows when it last changed, and we will notify account administrators of material changes.
